How to use ProtoBots

We've got a range of Task and Chatbots ready for you to use!

  1. Visit the ProtoBots.ai website and log into your account.
  2. Once you're in, you'll see your ProtoBots Catalog with a list of Taskbots and Chatbots available for you to use.
  3. Click on “Launch” to start using the bot you need!

Your access to Public, Organizational, or Private Bots depends on your role within your organization.

Building Your Own ProtoBots

You can create your own bot using our Bot Builder, a straightforward 5-step no-code process. This feature is only available to subscribers of the ProtoBots Builder plan. If you're a ProtoBots Builder, you'll see a link to “Bot Builder” at the top right of your screen. Click on it to unlock endless possibilities! Here's a quick guide to building your own ProtoBots.

Quick Start Guide to Using the Bot Builder

  1. Under "Step 1. What do you need done?" give a short description of the task you want to complete or the chatbot you want to create.
    • Example 1: "Create a Financial Health Report"
    • Example 2: "A specialized chatbot that guides users through preparing necessary documents for the grant."
    • Example 3: "A Q&A bot for users to ask questions about Life Insurance Products offered."
  2. Click on "Add" / or "Select Documents" to include relevant files for your project.
    • Example 1: "Balance Sheet"; "Cash Flows"; "P&L Statement"
    • Example 2: "Grant application guidelines"; "Grant eligibility criteria"
    • Example 3: "Life Insurance Products Offered with Descriptions"
  3. Click on "Auto-generate Prompt Instructions" and we'll create the best instructions for you.
  4. Review and edit the instructions. Make sure they're clear and accurately reflect what you want the bot to do. Then click "Generate" to produce your response.
  5. Finally, click "Export Your ProtoBot" to export the project to your ProtoBots Catalog. You'll be given options to select either a TaskBot or a ChatBot and you can name and describe your bot accordingly.
    Bonus: Save or Export Your Work. Save the generated content to your Library by clicking the "Add to Library" icon at the top right of the Result window. Export your content as a PDF, Word Doc, or Text file by selecting the Export icon at the top right of the Result window.

Managing Settings When Exporting a ProtoBot

When exporting a project in the Bot Builder as a TaskBot or a ProtoBot, the settings for each bot work as follows:

  • TaskBots – The documents in your Library are automatically imported as inputs for your TaskBot. Here you can add a brief description for each file for your end users. Each input file has 3 settings:
    1. Static setting means the document is attached to the prompt and not accessible to your end user. Use this setting for documents containing information essential to your bot’s functionality, such as writing guides, evaluation frameworks, or raw data.
    2. Text setting allows your end user to add their own document or text as input instead of the file originally in your Library. This setting is most suitable when your end users need to enter information or provide a write up.
    3. File setting allows your end user to upload a file directly from their drive into the ProtoBot. These files can be in pdf, docx, m4a, .mp4, .wav or csv and this setting is most suitable for medium to large file sizes.
  • ChatBots – The documents in your Library when creating a ChatBot are imported as fixed inputs and serve as the reference material for the Chatbot.

Note that the “Static” setting here means the end user will not be able to access this file, whereas “Text” and “File” lets your end user add text input or upload a file to your TaskBot.

Understanding ProtoBots Sharing and Organizational Roles

  • Public Bots are available to users on free trial and all paid subscribers of ProtoBots, and are a great way to get started. When using any Public ProtoBots, your usage is charged to your own account.
  • Private Bots are only available to subscribers of the ProtoBots Builder plan and are only accessible to the account that created them with token usage billed directly to the owner’s account. Users on a free trail have access to build and save Private bots, but they will lose access to their private bots if the subscription ends. However, users will be able to access their private bots when their subscription is active again.
  • Organizational Bots are shared assets within an organization and organization Roles determine an account holder’s access to different bots. All organizational Bot usage is charged to the Owner of the organization account. The 3 organizational Roles are:
    1. Owners – this account has complete access to manage all bots and members linked to the organization. Owners are billed for all usage of organizational and private bots linked to their account. Owners can invite other individuals to the organization either as Contributors or end Users. If you need to transfer an Owner account, please contact us at support@xopol.is
    2. Contributors – these accounts can only be created by invitation from the Owner of an organizational account after purchasing seats on an Enterprise plan. Contributors have complete access to the Bot Builder as well as their organization’s catalog, however they can only edit or delete bots that they have created. Contributors can invite users to consume the ProtoBots they build. If a contributor’s account is closed, their ProtoBots are transferred to the Owner’s account.
    3. Users - these accounts can only be created by invitation from an Owner or Contributor in an organization and automatically have access to the ProtBots that organization shares with them. Their usage on any organizational ProtoBots is billed to the Owner of the organization.

  1. Visit the ProtoBots.ai website and log into your account.

Depending on your task description, we automatically select the best LLM for the task and translate your description into a structured prompt specific to that LLM.
